Job description
Project Coordinator - Baseline Clearance Required
FinXL (FinXL.com.au) is seeking a highly organized, proactive, and process-driven Project Coordinator for an initial 8-month contract, with a Baseline Clearance. This role is ideal for a coordinator who thrives in high-governance environments and enjoys "keeping the wheels turning" on complex technical programs.
The Role
As a Project Coordinator, you will provide critical delivery support to Program Managers, ensuring that projects remain transparent, accountable, and aligned with strict PMO frameworks. You will be the "custodian of the registers," responsible for maintaining the integrity of project data while facilitating high-level stakeholder engagement.
Key Responsibilities
Governance & PMO Alignment: Ensure the consistent application of PMO processes, policies, and procedures across the project lifecycle.
RAIDD Management: Own and update the SharePoint-based registers, including Actions, Risks, Issues, Dependencies, and Decisions, as directed by Program Leadership.
Meeting Leadership: Schedule and lead results-driven project meetings, ensuring minutes and key materials are documented and distributed with high accuracy.
Financial Tracking: Maintain precise records of project activities, including budget tracking and forecasting to ensure financial transparency.
Planning & Resourcing: Assess project needs-including staffing, resource allocation, and budgeting-against defined objectives and schedules.
Change Control: Proactively raise Re-baseline and Change Requests, ensuring all documentation and approvals meet governance standards.
Performance Monitoring: Track milestones and deliverables, request and review team updates, and monitor performance to ensure alignment with timelines.
Stakeholder Engagement: Act as a bridge between technical teams and business stakeholders to clarify requirements and promote cross-functional collaboration.
About You
Detail Oriented: You are an expert in documentation and data integrity, particularly within SharePoint environments.
Proactive Problem Solver: You don't just report risks; you anticipate challenges and suggest solutions to mitigate them before they impact the schedule.
Process Driven: You have experience working within structured PMO frameworks.
Adaptable: You can manage competing priorities in a fast-paced environment while maintaining a focus on overall project outcomes.
Communicator: You have the confidence to lead meetings and the "gravitas" to hold team members accountable for their status updates.
