Job description

Our Client based in Lucas Heights is currently looking for a Executive Assistant or Administrator Lead.

- 6 Months contract

- Must be based near Lucas Heights

- Must be Australian Citizen

Key Accountabilities:

  • Manage diary and correspondence for the CIDO, including scheduling and preparing meeting materials.
  • Act as the first point of contact for the CIDO.
  • Support the IT Senior Leadership team with diary management, meeting coordination, and minute taking.
  • Prepare and edit correspondence, reports, and presentations.
  • Implement and manage internal IT communications in line with strategy.
  • Administer project, capex, and operational budgets, ensuring compliance with forecasts.
  • Analyze financial reports and develop briefs to meet deadlines.
  • Manage staff recognition and role model programs for the IT group.
  • Coordinate internal and external events, including quarterly IT Staff Forums.
  • Oversee accounting, purchasing, and office maintenance activities for the IT group.
  • Manage travel and accommodation for the IT group.
  • Identify opportunities to enhance efficiency for the CIDO and IT Senior Leadership Team.
  • Undertake additional duties as required.

Decision Making:

  • Assess multiple options to identify the best choice for specified goals.
  • Determine key work priorities and consult with the IT Department Manager on complex issues.
  • Follow levels of authority as approved by the Chief Executive Officer.

Key Challenges:

  • Maintain up-to-date knowledge of policies, processes, and relevant statutory requirements.
  • Engage with stakeholders to provide input and advice on operational issues.
  • Manage and prioritise tasks in a high-profile environment while meeting tight deadlines.
  • Influence and negotiate with the senior leadership team to ensure adherence to policy and processes.
  • Identify and communicate complex issues with conflicting priorities to keep the senior leadership team informed.
