Job description
Portfolio Coordinator / Project Administrator
FinXL IT Professional Services is currently looking for a Portfolio Coordinator or a Project Administrator to join our team and provide essential support across our technology portfolios.
In this dynamic role, you'll be instrumental in keeping the projects on track and the stakeholders informed. You'll be responsible for maintaining the project data, generating critical reports, and providing administrative support to the Portfolio Leads.

Key Responsibilities:
- Portfolio Management:
- Update the Technology Portfolio Management workbook, including sending reminders for weekly project status and resource data.
- Maintain the Project Risk Summary, Service Categories, and Roadmap based on data provided by Project Managers.
- Report Generation:
- Produce monthly Project Status Report Packs, including reminders and follow-ups, and taking meeting minutes.
- Generate packs for Screening Transformation projects.
- Administrative & Coordination Support:
- Provide administrative support to Portfolio Leads, including creating Purchase Orders, cover letters, and work orders.
- Organise meetings, including team meetings.
- Offer project coordination support to assigned projects.
- Coordinate Business Development Forum meetings.
- Assist with quarterly team events and ad hoc requests.
- Support meetings and take minutes.
- Create presentation packs.
- Provide support with financials, including Capex reporting.
Skills & Experience:
- Strong proficiency in Microsoft Excel and PowerPoint is essential.
- Experience with other Microsoft Suite applications.
- Experience with Portfolio Management (ideally using Excel).
- Familiarity with SharePoint and Power BI is a bonus.
- Excellent communication and organisational skills.
- Ability to work autonomously and as part of a team.
